Privacy

Ixencion is a psychology practice operated by Christopher Humphrey in Orange, NSW. This is Ixencion’s APP Privacy Policy. It explains how the practice manages personal and health information.

This website policy is the public layer. Versioned APP 5 and HPP 4 collection notices are prepared for use at each collection point and in secure intake once those pathways are live and founder-approved; each notice will describe the particular information being collected at that time.

Information Ixencion collects

Depending on the service, Ixencion may collect and hold:

  • identity and contact details, including your name, date of birth, contact details and emergency contact;
  • referral letters and Mental Health Treatment Plan documents, Medicare and referrer details, and related correspondence;
  • health and clinical information, including intake information, consent records, appointment notes, assessments and reports; and
  • booking, payment and technical data, including appointment history, invoices, payment or refund records, and technical information generated when you use the website or booking services.

The website does not require an account and does not use advertising trackers. Please do not send health information through ordinary email; Ixencion provides a secure route when documents are needed.

How information is collected and held

Information is collected directly from you, during appointments and intake, from an authorised representative, or from a referrer or other health professional where you consent or another lawful basis applies. Some booking, payment and technical records are generated as the practice provides a service.

Booking requests are handled through Google Calendar, referrals through HealthLink, and routine correspondence and administration through Google Workspace. Health and clinical information is held in secure systems separate from this public website. Website hosting and related technical data are handled through Cloudflare.

Clinical records are retained for at least 7 years from last contact, or until age 25 if you were seen before age 18.

Why information is used and disclosed

Ixencion uses and discloses information only as needed to:

  • provide and coordinate care;
  • manage booking, payment, correspondence and administration;
  • process eligible Medicare claims and communicate with referrers or other health professionals where authorised;
  • respond to safety concerns and requirements of law; and
  • meet legal and professional obligations.

Ixencion does not sell personal information. Service providers receive only the information needed to provide their part of the practice’s booking, administration, communication, hosting or secure-referral services.

Access and correction

You can ask for access to your information or ask for a correction by emailing reception@ixencion.com.au. Ixencion may need to verify your identity. If access or correction is limited or refused, the practice will explain the decision where required.

Privacy complaints

Contact Ixencion first by emailing reception@ixencion.com.au. The practice will acknowledge the concern, investigate it and respond within a reasonable period. If the concern is not resolved, you can contact the Office of the Australian Information Commissioner. You can also request a copy of this policy in another reasonable form through reception.

Overseas disclosures

Google Calendar, Google Workspace and Cloudflare use global infrastructure, so booking or administrative information and website technical data may be processed outside Australia. The particular countries may vary by service and account configuration; Ixencion does not claim Australian-only processing where account-level location evidence is incomplete.
